What Actually Happens when you Submit a Maintenance Request
A look behind the scenes at 360 Management's new maintenance system.

Maintenance issues are an inevitable part of renting a home, but reporting them shouldn't be complicated. At 360 Management, we've made it easier than ever for residents to submit maintenance requests through our updated system. Whether your air conditioner stops cooling, a faucet starts leaking, or an appliance isn't working properly, knowing how to report an issue and knowing what happens next can make all the difference.
When Should You Submit a Maintenance Request?
When you're renting a home, some maintenance responsibilities fall on the resident, while others require professional attention. Understanding the difference can save time and help you determine when to submit a request.
Routine maintenance generally includes smaller tasks that are part of taking care of your home. Depending on your lease agreement, these may include:
- Replacing light bulbs and smoke detector batteries
- Changing HVAC air filters
- Managing routine pest control
- Keeping up with lawn care
- Using a plunger for minor toilet clogs
- Resetting tripped breakers when it's safe to do so
Other issues, such as leaking pipes, electrical problems, HVAC malfunctions, or broken appliances, may require professional repairs.
Every property is different, so it's important to review your lease agreement to understand which maintenance tasks you're responsible for.
Not sure whether an issue requires professional attention? Reach out to your property manager through your resident portal. We'd rather help you determine the next step than have a small issue turn into a bigger problem.
How to Submit a Maintenance Request Through Your Resident Portal
We believe requesting maintenance should be straightforward. Our updated maintenance system gives residents a convenient way to report issues 24 hours a day, seven days a week.
The easiest and recommended way to submit a request is through the 360 Management Resident Portal.
When submitting your request, be sure to:
- Provide a detailed description of the issue.
- Include any troubleshooting steps you've already taken.
- Upload photos of the problem when possible.
The more information you provide, the easier it is for our team to understand the issue and determine the appropriate next steps.
What Happens After You Submit Your Maintenance Request?
Once you've submitted your request, our team gets to work behind the scenes. While the timeline may vary depending on the type of repair, here's what you can expect from the process.
Step 1: Your Property Manager Reviews the Request
Every maintenance request is assigned to a property manager who reviews the information provided and determines the appropriate course of action.
They'll evaluate the type of issue you're experiencing, review any photos or additional details, and determine what needs to happen next.
This is why providing a thorough description when submitting your request is so important!
Step 2: The Work Order Is Assigned to a Vendor
After reviewing your request, your property manager assigns the work order to the appropriate vendor.
For example, a plumbing issue may require a plumber, while an air conditioning problem would need an HVAC professional.
Our team coordinates this part of the process, so residents don't have to figure out who to contact or arrange professional repairs themselves.
Step 3: The Vendor Is Dispatched
Once the work order has been assigned, the vendor is dispatched to address the issue.
Depending on the repair, additional scheduling or coordination may be necessary. Your property manager or assigned vendor may also reach out for more information or to coordinate access to the property.
Keeping an eye on your resident portal and responding promptly to communication can help keep the process moving.
By working directly with our vendors, we help keep repairs organized and make sure maintenance requests receive the appropriate attention.
What Qualifies as Emergency Maintenance?
Not every maintenance issue requires immediate attention, but some situations shouldn't wait for a regularly scheduled repair.
Examples of emergency maintenance situations may include:
- Burst pipes or significant flooding
- Dangerous electrical problems, including smoking electrical equipment
- Serious plumbing issues that could cause significant property damage
- Immediate security concerns involving damaged doors or locks
Fires, active break-ins, and other immediate threats to personal safety are emergencies that require assistance from emergency services.
If you're experiencing an immediate safety emergency, call 911 first.
Once you're safe, report the maintenance issue through our 24/7 maintenance line at (334) 633-4822.
For non-emergency maintenance concerns, submit a request through your resident portal.
If you're unsure whether an issue qualifies as an emergency, refer to your lease and 360 Management's emergency maintenance guidelines.
Why It's Important to Report Maintenance Issues Promptly
It's easy to put off reporting a small problem, especially when it doesn't seem urgent. But something as simple as a slow leak or an air conditioner that isn't cooling properly can become a larger issue if left unaddressed.
Reporting maintenance concerns as soon as you notice them gives our team the opportunity to evaluate the situation and coordinate repairs before additional problems develop.
Prompt reporting also helps protect the condition of the property, benefiting both residents and property owners.
Taking care of a rental home is a team effort. When residents stay on top of routine upkeep and communicate maintenance concerns, it helps us do our part more effectively.
